The Alpine Perspective — Terms, Conditions, and Cancellation Policy
These Terms and Conditions (“Terms”) govern all guided trips, expeditions, tours, and associated services provided by The Alpine Perspective LLC (“Alpine Perspective,” “we,” “our,” or “us”). Any individual participating in or booking a trip (“Client”) agrees to be bound by these Terms.
Separate terms may apply to private or custom itineraries; those will be provided prior to booking.
We reserve the right to update or modify these Terms at any time without prior notice.
1. Participant Agreement & Assumption of Risk
Before your trip begins, all Clients must sign our Participant Agreement, Release of Liability, and Assumption of Risk. A link to the digital waiver will be sent after booking.
The signed waiver and these Terms constitute the full and exclusive agreement between the Client and Alpine Perspective.
2. Reservation, Deposit, and Payment
Deposit
A non-refundable deposit is required at the time of booking. Some specialty trips may require a higher deposit. Each trip page will indicate the required deposit amount.
All prices, deposits, and fees are charged in USD.
We strongly recommend purchasing trip cancellation insurance immediately after booking.
Final Payment
Remaining balances are due 90 days prior to trip departure. By agreeing to these Terms, the Client authorizes Alpine Perspective to charge the card on file for the outstanding balance.
Late payments may incur a $100 late fee, and failure to pay may result in cancellation without refund.
Bookings made fewer than 90 days before departure require full payment at the time of booking.
3. Cancellation by Client
Cancellations must be submitted in writing via email. The date we receive your written cancellation determines applicable fees.
Scheduled Group Departures
91+ days before departure: Deposit is non-refundable
61–90 days before departure: 50% refund of total trip cost
60 days or fewer: No refund (100% cancellation fee)
Private / Custom Departures
Deposit and final balance are non-refundable
If a suitable replacement participant is found, a refund may be issued minus a $100 per-person replacement fee
We strongly recommend “Cancel For Any Reason” (CFAR) travel insurance.
4. Travel & Medical Insurance (Required)
All Clients must carry medical travel insurance, and for backcountry or ski-focused trips, coverage must include:
Emergency medical care
Search & rescue
Air ambulance / evacuation
Off-piste and backcountry skiing/snowboarding
Mechanized access if applicable (boats, helicopters, snowmobiles, etc.)
Proof of insurance is required. Failure to provide documentation may result in cancellation without refund.
Trip cancellation/interruption insurance is strongly recommended.
5. Travel Disruptions & Force Majeure
Alpine Perspective is not responsible for delays, cancellations, or interruptions caused by factors beyond our control, including but not limited to:
Weather or snow conditions
Natural disasters
Political instability
Disease, pandemics, quarantines, travel bans
Airport or border closures
Strikes or transportation failures
If we must cancel a departure due to such circumstances, Clients may choose:
A spot on another departure of the same trip, or
A full trip credit for use the following season
Refunds are not provided for force majeure situations.
We are not responsible for any travel expenses incurred before your trip is fully confirmed.
6. Accommodation & Solo Travelers
Trip prices are based on shared accommodations unless otherwise stated.
Clients may request a single-room upgrade when available (additional cost applies).
If a solo traveler does not purchase a single room:
We will attempt to pair them with a same-gender roommate
If no same-gender match is available, Alpine Perspective may assign a single room and charge a partial or full single supplement
All rooming decisions will be confirmed prior to the trip.
7. Health, Fitness, and Ability
By booking, the Client represents that they are in good physical condition and capable of participating safely in all trip activities.
Clients must provide accurate medical and health information in our pre-trip questionnaire. Failure to do so may result in removal from certain activities or dismissal from the trip without refund.
Alpine Perspective reserves the right to deny participation if a Client’s health, fitness, or behavior creates a safety concern.
8. Itinerary Flexibility & Changes
Backcountry and adventure travel requires flexibility. The Client acknowledges that routes, schedules, accommodations, guides, and activities may change due to:
Weather
Snow stability
Natural events
Mechanical issues
Flight or road closures
Local regulations or unforeseen circumstances
Additional accommodation or transportation costs resulting from itinerary changes will be charged to the Client.
Alpine Perspective will make reasonable efforts to deliver all advertised services but may modify plans when necessary for safety or logistics.
9. Guides, Ratios, and Conduct
Trips typically run with two certified guides, though small groups (three or fewer guests) may operate with one guide.
The decisions of Alpine Perspective guides are final in all matters relating to safety, terrain choice, weather, group management, and logistics.
Clients agree to follow all guide instructions and comply with all local laws.
Harassment, violence, or disruptive behavior toward staff or other guests will result in immediate removal without refund.
10. Claims & Complaints
Any concerns must first be communicated to the trip guide during the trip so we can attempt to resolve the issue.
All formal complaints must be submitted in writing within 30 days of trip completion.
11. Travel Documents
Clients are responsible for obtaining:
Valid passports
Visas
Vaccinations
Permits
Any other required travel documentation
Alpine Perspective is not liable for issues arising from incomplete or incorrect travel documents.
12. Airlines
Air travel is subject to the airline’s conditions of carriage. Alpine Perspective is not responsible for missed flights, delays, baggage issues, or additional costs associated with air travel.
13. Photo & Video Release
Clients grant Alpine Perspective permission to capture and use photography and video footage from the trip for promotional and commercial purposes.
14. Equipment Responsibility
Clients must arrive with all required equipment in working order, as listed on the trip packing list.
Equipment rented or borrowed through Alpine Perspective must be treated with care. Any damage or loss will be billed to the Client, including associated shipping or replacement costs.
