Terms, Conditions, and Cancellation Policy

Every reservation is a meaningful commitment. When you book, we hold a spot just for you and staff our programs with professional mountain guides based on that promise.

As a small business, we rely on confirmed reservations and balanced group sizes to operate sustainably. Cancellations impact our team, other participants, and our ability to deliver the world-class experiences you expect. 

As such, our cancellation policies below are firm – so we can continue providing professional, unforgettable days in the mountains.


1. The Alpine Perspective — Terms, Conditions, and Cancellation Policy

These Terms and Conditions (“Terms”) govern all guided trips, expeditions, tours, and associated services provided by The Alpine Perspective LLC (“Alpine Perspective,” “we,” “our,” or “us”). Any individual participating in or booking a trip (“Client”) agrees to be bound by these Terms. Separate terms may apply to private or custom itineraries; those will be provided prior to booking. We reserve the right to update or modify these Terms at any time without prior notice.

2. Participant Agreement & Assumption of Risk

Before your trip begins, all Clients must sign our Participant Agreement, Release of Liability, and Assumption of Risk. A link to the digital waiver will be sent after booking.
The signed waiver and these Terms constitute the full and exclusive agreement between the Client and Alpine Perspective.

3. Reservation Deposits and Payments

Deposits

A non-refundable deposit of $999.00 is required at the time of booking. Some specialty trips may require a higher deposit. Each trip page will indicate the required deposit amount.

All rates, deposits, and payments are quoted in U.S. Dollars (USD). Payments made in foreign currency may be subject to exchange rate adjustments. Rates are subject to change without notice until a booking is confirmed.

  • All bookings require a deposit of $999.00 USD at the time of booking

  • 50% deposit of the total trip cost is required 120  days prior to the trip start date.

  • The original $999.00 USD deposit is non-refundable and secures your space.

Final Payments

  • The final balance is due 60 days prior to the trip start date, unless otherwise specified.

Failure to submit the final payment by the required deadline may result in cancellation of your reservation and forfeiture of all deposits. All payments made to Alpine Perspective Collective LLC are considered applied funds and are subject to the terms of this policy.

  • Remaining balances are due 60 days prior to trip departure. 

  • Late payments may incur a $100 late fee, and failure to pay may result in cancellation without refund.

  •  Bookings made fewer than 60 days before departure require full payment at the time of booking.

4. Cancellation by Client

Cancellations must be submitted in writing via email. The date we receive your written cancellation determines applicable fees.

Cancelation timeline

  • 121+ days prior to departure: Cancellations made 121 days or more prior to the trip start date receive a full refund minus the initial $999.00 USD deposit, or full credit for a future trip. (Note: We cannot refund to a credit card if it has been more than 90 days since your original purchase.)

  • 61-120 days prior to departure: 25% of the trip cost will be charged in addition to the orginial $999.00 non refundable deposit. These funds can be applied as a credit for future trips booked within 2 years of the cancellation date. 

  • Cancellations within 60 days prior to trip departure: No refund, a name change is acceptable 

  • In the event of a name change, a $100 processing fee per person will be charged

  • No-shows or early departure: No refunds.

  • We strongly recommend “Cancel For Any Reason” (CFAR) travel insurance.

5. Guest Substitutions & Replacement Policy

If a guest is unable to attend their scheduled trip, they may transfer their reservation funds to a replacement guest, provided their replacement guest:

  • Meets all skill, fitness, and trip requirements

  • The replacement guest was provided by the original guest

  • Completes all required waivers and documentation

  • Is approved by Alpine Perspective Collective LLC

  • A $100 transfer processing fee will be charged

If Alpine Perspective Collective LLC is required to source a replacement guest on the client’s behalf, the original guest will receive a full refund minus a $500 processing fee, regardless of the time of cancellation.

Alpine Perspective Collective LLC will not be liable for any liquidated damages, cancellation fees, rental charges, service charges, or any direct, consequential, compensatory, incidental damages or any other damages or amounts of any nature whatsoever.

5. Participation Requirements & Conduct

Participation in any Alpine Perspective Collective LLC activity is conditional upon:

  • Completion of a Release of Liability, Assumption of Risk, and Medical Consent Agreement

  • Compliance with all guide instructions at all times

  • Physical and mental fitness appropriate to the activity

Drugs & Alcohol

  • Zero-tolerance policy

  • Guests under the influence of drugs or alcohol, or experiencing impairment due to hangover, will not be permitted to participate

  • No refunds will be issued for removal due to impairment

Failure to comply with safety standards or guide direction may result in immediate termination of participation and forfeiture of all applied funds.

Alpine Perspective Collective LLC reserves the right to terminate any guest participation for any reason or circumstance once on the trip. This will forfeit any and all trip funds. 

Guests are responsible for:

  • Arriving on time to all scheduled meeting points

  • Providing appropriate food, hydration, and personal equipment unless otherwise specified

  • Securing proper travel documents and legal entry into the host country

  • Transportation to and from meeting locations unless explicitly arranged

  • Guests are expected to follow Leave No Trace principles and respect local communities, land regulations, and access agreements.

  • Clients agree to follow all guide instructions and comply with all local laws.

  •  Harassment, violence, or disruptive behavior toward staff or other guests will result in immediate removal without refund.

No refunds will be issued for missed departures, denied border entry, or incomplete documentation.

6. Travel & Medical Insurance (Required)

All Clients must carry comprehensive medical, travel, and evacuation insurance. 

  • Proof of insurance is required. Failure to provide documentation may result in cancellation without refund.

  • Trip cancellation/interruption insurance is strongly recommended.

  • We recommend purchasing trip insurance through Global Rescue, Travelers, Allianz, and Travel Guard.

7. Risk Acknowledgment & Dynamic Conditions

  • Mountain, backcountry, and expedition environments are inherently unpredictable. Conditions may change rapidly due to weather, snowpack, terrain, or external factors.

  • Guides will make real-time decisions to prioritize safety and group success. Objectives, routes, and itineraries may change at any time without entitlement to a refund.

  • Backcountry skiing is a dangerous sport, and the guest acknowledges the inherent risks that are associated with winter sports.

8. Travel Disruptions & Force Majeure

Alpine Perspective Collective LLC shall not be liable for cancellations, delays, or modifications caused by events beyond reasonable control, including but not limited to:

  • Weather or snow conditions

  • Natural disasters

  • Political instability

  • Disease, pandemics, quarantines, travel bans

  • Airport or border closures

  • Strikes or transportation failures

  • Safety concerns

  • Government restrictions or force majeure events

Refunds are not provided for force majeure situations.

We are not responsible for any travel expenses incurred before your trip is fully confirmed.

We strongly recommend “Cancel For Any Reason” (CFAR) travel insurance.

9. Itinerary Flexibility & Changes

Alpine Perspective will make reasonable efforts to deliver all advertised services, but may modify plans as necessary for safety or logistical reasons.

Backcountry and adventure travel require flexibility. The Client acknowledges that routes, schedules, accommodations, guides, and activities may change, but are not limited to:

  • Weather

  • Snow stability

  • Natural events

  • Mechanical issues

  • Flight or road closures

  • Local regulations or unforeseen circumstances

10. Health, Fitness, and Ability

By booking, the Client acknowledges that they are in good physical condition, meet all our requirements, and are capable of participating safely in all trip activities. Clients must provide accurate medical and health information in our pre-trip questionnaire. Failure to do so may result in removal from certain activities or dismissal from the trip without refund.
Alpine Perspective reserves the right to deny participation if a Client’s health, fitness, or behavior creates a safety concern.

11. Travel Documents

Clients are responsible for obtaining:

  • Valid passports

  • Visas

  • Vaccinations

  • Permits

  • Any other required travel documentation

Alpine Perspective is not liable for issues arising from incomplete or incorrect travel documents.

12. Airlines

Air travel is subject to the airline’s conditions of carriage. Alpine Perspective is not responsible for missed flights, delays, baggage issues, or additional costs associated with air travel.

13. Photo & Video Release

Clients grant Alpine Perspective permission to capture and use photography and video footage from the trip for promotional and commercial purposes.

14. Equipment Responsibility

Guests must review and comply with the recommended equipment list provided prior to the trip. Failure to bring the required equipment may result in non-participation without a refund.

Rental equipment may be available for certain trips and must be arranged in advance or confirmed with your guide.

15. Gratuities

Guiding is a service-based profession. Gratuities are not required but are always appreciated for exceptional service.

16. Acknowledgment

By booking a trip with Alpine Perspective Collective LLC, you acknowledge that you have read, understood, and agreed to all terms outlined in this policy.
